Customer Detail & Aging
The customer page is a complete AR view for one customer — outstanding, overdue, unapplied cash, credit headroom, every document and the ledger — without opening a report.
Navigate to: Sales → Customers → select any customer
The customer page shows everything about the AR relationship with one customer in a single view. You should not need to run a report to answer the question "how much does this customer owe and how much of it is overdue?" — the Overview answers it instantly, as at today or as at any date you choose.
Page Elements
| Element | Location | Details |
|---|---|---|
| Header | Top of page | The customer name and a More menu: Edit details, Provision portal access, New invoice, New receipt, New credit note. |
| Account team | Below the header | The employees assigned to this customer, with their roles (Account Manager, Sales Rep, Support) and a Primary marker. |
| Tabs | Top of the card | Overview · Activities · Ledger · Reconcile · Rewards. Activities and Ledger carry counts. |
| As at | Beside the tabs | A date picker. Every figure on the Overview is stated as at that date (default: today). Back to today clears it. |
| Customer details | Overview, left | Email, Phone, Address, Tax ID, Payment terms, Credit limit, Currency, Location, Last activity (with a dormancy note after 90 days), Website. |
| Outstanding | Overview figures | The net amount this customer owes as at the chosen date, read from the AR control account — the same lines the statement is built from. |
| Overdue | Overview figures | The part of Outstanding whose documents are past due, with the count and how much is not yet due. Shown only when something is overdue. |
| Unapplied payments | Overview figures | Cash received but not yet applied to an invoice — "Received · being applied automatically". Explains why Overdue and Outstanding can seem to disagree. |
| Credit available / Over credit limit by | Overview figures | Shown when a credit limit is set. Over the limit turns red and adds an alert. |
| View statement | Overview | Opens the customer statement for the chosen period — see Customer Statements. |
| Collections & credits · Sales to date · Tax to date · Reward points | Overview, second row | Lifetime figures from the same producer the Customers list uses, so the two can never disagree. |
| Movement to date | Overview, bottom | One row per document type with its count and signed total, ending in the closing balance. |
Understanding Overdue and Aging
Age is measured from each document's own date — never from when it was saved. On the customer page you see one Overdue figure; the breakdown by bucket lives in Reporting → Sales → Receivables Aging, which the Customers page links to as Receivables aging.
| Bucket | Calculation | Action Implication |
|---|---|---|
| 1-30 Days | Up to 30 days past the document date — this bucket also holds documents dated today or in the future | Within terms or just past them — send the first reminder if the due date has passed |
| 31-60 Days | 31 to 60 days past the document date | Escalate — second reminder, consider a call |
| 61-90 Days | 61 to 90 days past the document date | High risk — review the credit limit, consider pausing new orders |
| 90+ Days | More than 90 days past the document date | Seriously overdue — consider collections or write-off |
The 30 / 60 / 90 day edges are the default preset; 7 / 14 / 30, 15 / 30 / 45 / 60 and 30 / 60 / 90 / 120 are also offered. There is no "Current" bucket: the first bucket absorbs everything up to its edge.
The Overview and the aging report are computed when you open them from the posted documents and ledger lines. There is no scheduled job or end-of-day batch. If a receipt was posted an hour ago, the figures reflect it now.
Activities Tab
Every document for this customer, grouped by stage of the relationship, each stage its own table with a count: Orders, Deliveries, Invoicing, Collections, Returns & credits, Cash sales, and Communication (every email or WhatsApp sent, with channel, recipient, sender and status). A stage with no documents is hidden.
| Column | Details |
|---|---|
| Number | Document number. Links to the document. |
| Date | The document date. |
| Due · Age | Invoicing only. Age reads "12d overdue", "Due today", "in 24d", or Settled. |
| Status | Invoicing filters: Overdue, Unpaid, Partly paid, Paid. Collections filters: Unmatched, Partly matched, Matched. |
| Total · Outstanding | The document total and what remains unpaid on it. |
Ledger Tab
The customer sub-ledger — every journal line that posted against this customer's AR account. Columns:
| Column | Details |
|---|---|
| Post date | Journal entry date |
| Account | The account on the line, with its code |
| Debit | Amount that increased AR (invoices, refunds) |
| Credit | Amount that decreased AR (receipts, credit notes) |
A period picker and search narrow the lines; the summary shows Lines, Total debit and Total credit for the filtered set. The ledger is the authoritative view of the AR history. If a document table and a statement ever disagree, the ledger is correct — it reflects the actual journal entries.
Reconcile and Rewards
Reconcile lets you upload the customer's own statement file and match it against your books, line by line — Your books, Their file, Difference, Matched. Rewards shows the customer's loyalty balance and history when loyalty is enabled.
