People
Personnel records, payroll and pay runs, spend requests, and employee self-service.
People covers three things a business does with its workforce: keep records of who works here (Personnel), pay them (Payroll), and handle the money they ask for (Spend). Each is a separate feature you can subscribe to and grant independently — a business can run Personnel without Payroll, or Spend on its own.
Where everything lives
| Sidebar entry | Opens | Feature that grants it |
|---|---|---|
| Overview | /people | Any of Personnel or Payroll |
| Personnel | /people/employees | Personnel |
| Payroll | /people/pay-schedules | Payroll |
| Spend | /payment-requests | Requisitions (shown as Spend) |
The feature is still named Requisitions on your subscription, but every screen calls it Spend — one place for payment requests, requisitions and advances. The URL is unchanged, so old links and bookmarks still work.
The Overview page
/people is the People landing page. Every figure on it is computed on the backend — the page shows what the business looks like right now and what is waiting on you.
| Stat | What it counts |
|---|---|
| Headcount | Active employees. The hint below shows how many are On leave. |
| Joined, 30 days | People hired in the last 30 days, with leavers in the hint. |
| Ending soon | Probation periods and fixed-term contracts ending within 30 days. |
| Pay runs | Draft pay runs, with the approved count in the hint. |
Below the stats, Needs you is a single list of everything waiting on a decision — draft pay runs (with their net pay and employee count), spend items awaiting approval, employee profile changes awaiting confirmation, and people whose probation or contract is about to end. Each row is a link straight to the thing that needs doing.
The rail on the right carries the last pay run (run name, pay date, employees, net pay) and shortcuts to Employees, Pay schedules, Spend, and inactive employees.
Three buttons sit in the header: Raise spend, New pay schedule, and New employee.
The Overview shows cross-employee data, so employees on the Staff role are sent to their own dashboard instead. A user whose only People grant is Spend also does not see it — they land on their own Spend home.
What creates journals
Most of what happens in People is record-keeping and has no ledger impact. Money only moves at four points.
| Event | Creates a journal? | Note |
|---|---|---|
| Employee created or edited | No | Master data only. |
| Pay run saved as draft | No | A draft has no financial impact and can be freely changed. |
| Pay run posted | Yes | One journal, dated the pay date, with a debit and a credit line per pay-item group, using the accounts you map at posting time. |
| Payslips downloaded or emailed | No | Documents, not postings. |
| Bank file downloaded | No | A payment instruction for your bank. It records nothing. |
| Spend request submitted or approved | No | Workflow only. |
| Spend payment posted | Yes | Records the payment against the account and the bank or cash it left from. |
| Advance created | Yes | Debits the advance account, credits the account the money leaves from. |
| Advance retired | Yes | Posts a retirement journal against the advance and the account any returned cash goes back to. |
Posting creates the journal entries, moves the run to Approved, and generates every payslip. There is no un-post. Review the run first — the pay-run workspace exists for exactly that.
Pay run status
| Status | Meaning |
|---|---|
| Draft | Being built. Nothing is posted, employees and pay items can be changed freely, and the run can be deleted. |
| Approved | Posted. Journals exist, payslips exist, the bank file can be built. The run is no longer editable. |
Topics
Personnel
The employee register and the record behind each person — hire them, load them in bulk, set what they are paid, read what they have been paid, and deactivate them without losing a payslip.
Payroll
Build a pay run in four steps, set what it pays, review it against the last one, post it to the ledger, then send payslips and produce the bank file that pays everyone.
Spend
Three ways to ask the business for money — a payment request, a requisition, or an advance. Each is reviewed, approved, and then either posted as a payment, converted into a purchase document, or retired with receipts.
Employee self-service
What an employee on the Staff role can reach: their own payslips, their own spend requests, their own personnel record, and a page for proposing changes to their contact and bank details. Nothing else, and never Reporting.
