Payslips
What is on a payslip, and the four ways to get one out — download, bulk ZIP, email, and the employee portal.
Posting a pay run generates a payslip for every employee on it. Payslips are built on the server from the run's own figures, so the copy an employee gets, the copy a manager downloads, and the copy in a bulk ZIP are the same document.
What is on it
| Section | Contains |
|---|---|
| Header | Your business name and logo, the pay period, the pay date, and the run's currency. |
| Employee | Name, employee number, and bank details. |
| Earnings | Every salary, benefit and allowance line — name, rate, period, count, and the figure for the period — with a section total. |
| Deductions | Every deduction line, with a section total. |
| Taxes | Every tax line, with a section total. |
| Summary | The totals, ending in net pay. |
A payslip carries your business logo, or the logo of the centre the run belongs to where one is set. It never renders un-branded because of how someone signed in.
Getting payslips out
| Route | Where | Produces |
|---|---|---|
| Download all payslips | Pay run workspace, on an approved run | One ZIP containing every payslip as a PDF. |
| Email payslips | Pay run workspace, on an approved run | One email per employee with their own payslip attached. |
| Download payslip | Employee → Payment History → open a payment | That one payslip. |
| Employee portal | The employee signs in | Their own payslips, and nobody else’s. |
Emailing payslips
Email payslips on an approved run asks you to confirm how many people it is about to send to, then sends each employee their own payslip as a PDF attachment.
When it finishes, the outcome is reported in three counts, and every person in the last two is named.
| Outcome | Meaning | What to do |
|---|---|---|
| Sent | The payslip went out as a PDF attachment. | Nothing. |
| Skipped | No email address on that person’s record. | Add the address to their record and send again. |
| Failed | There is an address, but the send itself did not succeed. | Check the address is right, then send again. |
Anyone not emailed is named with the reason. Re-sending is safe — it is the same document either way, so a person who already has theirs simply receives it again.
Payslips are emailed from approved runs. A draft has not paid anybody, so there is nothing to send.
Employees getting their own
An employee on the Staff role sees Payslips in their sidebar and their own payslips on their dashboard. They see approved runs only, and only the lines that belong to them — see My payslips.
