Banking
Every cash, bank and card account — book balance, the bank's own figure, and whether the two have been proven to agree.
Banking is where cash meets the books. The Banking page is an overview of every cash, bank and card account with its book balance, the bank's own balance from the last imported statement, and whether the two have been reconciled. Each account opens into its own workspace, where statements are imported, periods are reconciled, and uncategorised money is classified.
The Banking Page
Navigate to: Finance → Banking
At the top:
| Card | What It Shows |
|---|---|
| Total cash balance | The sum of every cash and bank account's book balance as at today — one card per currency, never blended |
| Checked against a statement | How many accounts have had a statement imported and compared, e.g. "2 of 3" |
The Accounts Table
| Column | What It Shows |
|---|---|
| Account | Name and code. When the account has uncategorised lines, badges show the count and total of income and of expense lines still to classify. |
| Type | Bank, Cash, Card |
| Book · as at today | The ledger balance |
| Bank · per statement | The closing balance of the last imported statement and its date — or "—" and "no statement" when nothing has been imported |
| Reconciliation | One of three states — see below |
The toolbar offers search by account name or code, a filter with Type, Reconciliation and book/bank range facets, Export, Columns, and Share uncategorised income & expenses — an email-gated, read-only link that lets someone outside the app add a note to each uncategorised line (nothing they do posts to the ledger). See Sharing lines for review. Click a row to open the account.
Reconciliation States
| Status | Meaning |
|---|---|
| Not checked | No statement has been imported for this account. Nothing was compared, so nothing is claimed. |
| Matches | A statement was imported and the book agrees with the bank's closing balance to the cent. |
| To reconcile | A statement was imported and the two differ; the badge shows the amount of the difference. |
"Matches" is only ever shown after a statement has actually been imported and compared. An account that has never been checked stays "Not checked" — a blank is more honest than a green tick on a comparison that never happened.
The Account Workspace
Click an account to open it. The header shows the account name and type, three cards — Book · as at today, Bank · per statement, Reconciliation — and an Update button that imports a statement. Four tabs sit beneath:
| Tab | What It Shows |
|---|---|
| Details | The posted movements of the account — Date, Description, In, Out, Balance — for the period you pick, paged 50 at a time |
| Reconciliation | Book vs bank for the account, the reconciliation periods, and the import history. See Bank Reconciliation. |
| Classification | The uncategorised income and expense lines of this account, and the tools to clear them. See Classifying Uncategorised Money. |
| Rules | Description-based rules that pre-fill a category on matching statement lines, plus rules suggested from your own history. See Bank Rules. |
The Statement-First Flow
| Step | Where | What Happens |
|---|---|---|
| 1. Update (import) | Account header | The statement's lines are stored for reconciliation. Nothing posts to the ledger. See Importing Statements. |
| 2. Start a period | Reconciliation tab | A period is opened for the statement's dates with its opening and closing balances. |
| 3. Auto-match / match | Reconciliation tab | Statement lines are linked to the book lines that already exist. See Auto-Matching. |
| 4. Send to Classification | Reconciliation tab | Statement lines the book never had post as uncategorised income or expenses. |
| 5. Classify | Classification tab | Each uncategorised line is moved to its real account, converted into a receipt or payment, or split. |
| 6. Reconcile | Reconciliation tab | Once every statement line is explained, the period is locked. |
Uncategorised badges on an account are a signal, not an error. They are cash movements that sit in Uncategorized Income or Uncategorized Expenses without a real classification yet. Until they are classified, your P&L does not reflect them — and both accounts must be empty before a month can be locked in Financial Close.
Two Posting Methods
| Aspect | Bank-Led | Journal-Led |
|---|---|---|
| How cash enters the books | Import the statement → reconcile the period → classify what the book never had | Receipts, payments and journals are posted as they happen |
| Source of truth for cash | The bank statement | Your internally recorded transactions |
| Reconciliation | Happens inside the reconciliation period as lines are matched and classified | A reconciliation period per statement, matched against what was already posted |
| Uncategorised queue | Normal — sent lines sit there until classified | Should stay empty; anything that appears is a bank movement the book missed |
| Who it suits | Accountants working from month-end statements | Bookkeepers who want a live cash position |
Bank-led posting does not mean cash-basis accounting. Invoices and bills still post when they are created — revenue and expense are recognised then. Only the timing of the cash entry differs, and the P&L is not affected by the choice.
