Uncategorized Transactions
Every statement line the book never had — the queue that must reach zero before a month can be locked.
When a reconciliation period sends statement lines the book never had to Classification, each line is posted to a temporary system account — Uncategorized Income for money in, Uncategorized Expenses for money out — with the bank account as the other side. The Classification tab of the bank account is where you work through that queue: assign the real account, create the receipt or payment the line represents, or split it.
Navigate to: Finance → Banking → open the account → Classification
Why Uncategorised Exists
A statement line that matches nothing in the book still has to hit the bank account, or the book balance would be wrong. So it posts against a holding account until you say where it belongs. Both holding accounts should return to zero as you classify; they are the two blocking tasks on the Financial Close checklist.
The Classification Tab
Two cards at the top choose the side you are working on:
| Card | What It Shows |
|---|---|
| Money out · expenses | Count and total of uncategorised outflows |
| Money in · income | Count and total of uncategorised inflows |
Below them a toolbar and the list:
| Control | What It Does |
|---|---|
| Select all N / checkbox | Selects every line in the current view (across pages) |
| Search | By description or amount — e.g. a party name, or 2500 |
| Center | Shown when centers are on; scopes both the lines and the accounts offered |
| Apply N suggestions | Pre-fills the category on lines a rule (or the built-in bank-charges rule) recognises. Suggestions are offered, never posted |
| Move to ledger · account · Set all / Set N | Pick one account and apply it to the selection (or, with nothing selected, to every line in view) |
| Convert N to receipts / payments | Opens the convert dialog for the selected lines |
| Post N categorised | Posts every line that has a category |
| Split transaction | Opens the split dialog for this bank's lines |
Line Fields
| Column | What It Shows |
|---|---|
| Date | Transaction date from the statement, with the center beneath it when set |
| Description | The bank's text. When the line resembles a document, a hint reads "Looks like BILL-0042 · Northwind Foods · high" (or medium / low) |
| Amount | Always positive — the side you are on gives the direction |
| Category | A searchable account picker (type a code like 104 or a name); a tick posts that one line at once |
Categorising a Line
Pick the account in the Category picker and click the tick — or set several and Post N categorised. Posting moves the line out of the holding account by the same mechanism the ledger's Move to uses: a reclassification journal that reverses the holding line and debits or credits the account you chose.
| Account | Debit | Credit | Description |
|---|---|---|---|
| Bank Charges | 25.00 | — | The real account for the line |
| Uncategorized Expenses | — | 25.00 | Clears the holding account — the bank leg posted at send time is untouched |
If a post is refused, the line comes back with the reason in plain words — for example the date is in a closed period, or the account is not assigned to the line's center.
Converting to Receipts or Payments
Use this when a line is a customer paying an invoice or you paying a vendor's bill — a real document, not just an account. The full task is on Converting bank lines to documents.
Tick every line that belongs to the same customer (money in) or vendor (money out).
The dialog asks for one customer or vendor (searched across every party on the server) and, optionally, a center; it previews the lines and their total.
Each line becomes a numbered receipt or payment for that party, posted in the background. The lines disappear as the job runs; if anything fails they come back with the reason.
The receipt or payment settles the party's open invoices or bills by their own dates (the Statement first, then oldest by invoice or bill date), so the customer or vendor balance is right without further work.
Splitting a Line
Split transaction divides one statement line across several accounts in one balanced journal — the whole amount must be allocated. See Transfer & Split.
Rules
The Rules tab — covered in full on Bank rules — holds description-based rules: Description contains / is exactly "…" → account, optionally limited to money in or money out. A rule pre-fills the category on matching lines; you still confirm and post. After you have categorised three or more similar lines to the same account, the tab suggests a rule from your history — Make it a rule adopts it.
Uncategorized Income and Uncategorized Expenses must reach zero before period close. If either still has a balance when you close, your P&L and Balance Sheet carry bank movements with no classification, and every report — including the Trial Balance — is incomplete until the queue is cleared.
