Ledger Workbooks (Excel)

One Excel workbook with a sheet per customer, vendor or item — opening balance, every transaction, running balance, closing.

Three catalog entries produce a workbook instead of a screen: Customer Ledgers (Excel), Vendor Ledgers (Excel) and Inventory Ledgers (Excel). Each opens a page with two dates and a download button; the workbook is built on the server from the same producer that every balance screen reads, and the download starts when it is ready.

Generating a Workbook

There is no party or item picker on these pages — the workbook always covers every customer, vendor or item in scope. The file is named customer-ledgers-<date>.xlsx, vendor-ledgers-<date>.xlsx or inventory-ledgers-<date>.xlsx unless the server supplies a name.

What Is Inside

Customer and vendor ledgers

  • A Summary sheet first: total receivable or payable, credits on account, the number of parties listed, and a reconciliation line against the ledger control total.
  • Then one sheet per party: the opening balance, every transaction in the window — invoices, receipts and credit notes for customers; bills, payments and debit notes for vendors; write-offs and journals for both — a running balance on every row, and the closing balance.
  • Sales receipts (cash sales) are excluded: they create no debt and so never touch a customer's ledger.

Inventory ledgers

  • A Summary sheet first: items listed, total inventory value at running weighted-average cost, and every omission named.
  • Then one sheet per item: opening stock, every movement — purchases, sales, returns, transfers, adjustments, production — with running quantity, running value and running weighted-average cost on every row.
  • Service and expense items are excluded by name; they hold no stock.

Party sheets are built from the party-balance producer that the customer and vendor pages read, and item sheets replay the inventory engine to each movement's date. The closing balance on a sheet is the balance the directory shows for the same date.

Behind the Button

The workbook runs as a background export job: the page polls every 1.5 seconds for up to 5 minutes, then downloads the file. A finished file is downloadable once and stays available for 5 minutes; a file over 25 MB is refused with Export is too large to deliver — narrow the date range or filters.
