Exporting a Plan
Excel and PDF of the plan you are looking at — what each file contains, and the one thing that surprises people about the Excel.
Two buttons sit at the top right of every plan page: Excel and PDF. Both export the plan you are looking at, complete with its actual figures, and both are named after the plan.
The Excel Workbook
| Sheet | On | Columns |
|---|---|---|
| Summary | Every plan | Field and Value — plan name, module, period, period type, currency, then the totals. |
| Targets | Every plan except P&L | Row · Metric · Period start · Period end · Target · Actual · % |
| Sub-Plans | P&L plans | Plan · Module · Period start · Period end · Target · Actual · % |
The Summary sheet's totals differ by type:
| Plan type | Totals on the Summary sheet |
|---|---|
| Sales, Purchases, Expenses, Cash Flow, Production, Payroll | Total target · Total actual · Attainment % · Rows |
| P&L | Income target and actual · Expense target and actual · Net profit target and actual |
A Sales, Purchases, or Production plan stores two lines for every cell — the quantity and the value — so each appears as its own row, distinguished by the Metric column. A plan with 4 items over 3 monthly periods produces 24 rows, not 12. Filter or pivot on Metric before summing anything, or you will add units to money.
The PDF
A single document laid out for reading rather than working:
- a header with your business name, the plan name, and the plan's period, grid-column type, and currency;
- three figures across the top — Target, Actual, and Attainment with the row count beneath — or, on a P&L plan, Income, Expenses, and Net Profit;
- a Targets table (Row and metric · Period · Target · Actual · %), or a Sub-Plans table on a P&L plan;
- page numbers in the footer.
Attainment percentages are coloured in the PDF the same way they are on screen.
There is no row limit and no truncation. A weekly plan across 40 rows exports 40 rows × 52 weeks × 2 metrics — over four thousand lines. Export Excel for anything that size and use the PDF for the plans someone will actually read.
Filenames
Both files are named after the plan, with anything that is not a letter, digit, space, hyphen, or underscore replaced — so "Sales Plan - Q1 2026" downloads as Sales Plan - Q1 2026.xlsx and Sales Plan - Q1 2026.pdf.
What the Export Reflects
The export is generated from the same figures the Overview shows, at the moment you press the button: the targets as saved, and the actuals as they stand right now. Nothing is cached, so exporting the same plan twice in a day can legitimately give two different actuals if documents were posted in between.
