Budget vs Actual

Actual figures are computed from posted documents and the ledger every time you open a plan. Here is where they appear and how to read them.

As documents are posted across the system, the plan's Overview reads the actual figures for every row and every period. There is no manual entry for actuals, no import, and nothing to refresh — every visit recomputes them.

A plan's Overview with one period expanded, built from the same components the app uses.

Where to Look

Open a plan from the Planner home. The Overview tab is what you land on.

Band of the pageWhat it holdsDetail
SummaryA ring showing attainment across the whole plan, beside value, units, average price, and period counts.See The plan summary
Target vs Actual by PeriodA bar chart, shown once the plan has more than one period.See The plan summary
By Period / By ItemThe same figures grouped two ways. By Item reads By Account on Expenses and Cash Flow plans.See By period and By item

The editing grid holds no actuals at all. Targets live in the grid; results live on the Overview.

ℹ️Nothing is ever frozen

A completed period is recomputed on every visit exactly like an open one, so a document posted late is picked up and the figure moves. This is deliberate — the plan always reflects the ledger as it stands, not as it stood when the period closed.

The One Colour Scale

Every progress bar and status badge in the Planner uses the same five bands, on every plan type:

StatusMeaning
Exceeded100% and above.
On Track80% to 99%.
At Risk50% to 79%.
Behind1% to 49%.
No Activity0% — a target with no posted actuals yet.

The scale does not flip for expense-side plans: spending over budget reads Exceeded. See Progress display.

Period States

StatusMeaning
CompletedThe period has ended. Its actuals are still recomputed on every visit.
CurrentToday falls inside the period. Expanded by default in the By Period view.
UpcomingThe period has not started. Target shown; actual is 0.

Attainment

ℹ️INFO

Attainment % = Actual ÷ Target × 100, computed on the server and rounded to a whole number. An expanded period card also shows the gap as money — the amount over or under. See Variance calculation.
