Emailing a Report
Send any report to someone by email or WhatsApp, right now, with the period and filters you are looking at.
Export → Email report… opens the Send report dialog: Email or WhatsApp this report with the current period and filters applied. The same dialog sends once or sets up a recurring delivery; this page covers sending once.
Send It
The attachment is built from what is on screen — the same period, filters, grouping, measure and units. Nothing in this dialog changes the report.
From the Export menu on the report toolbar.
The recipient fields change with the choice.
When stays on Send now.
The button is disabled until a plausible recipient is entered. A toast confirms Report sent — or Sent via WhatsApp.
The Fields
| Field | Details |
|---|---|
| Send via | Email or WhatsApp. |
| To | Email only. One recipient address, required. |
| CC | Email only. Several addresses, separated by commas. |
| WhatsApp number | WhatsApp only. One number, required, in international format. There is no CC. |
| Message | Optional. Sent as the body of the email. |
| Attach as | PDF, Excel or CSV — one attachment per send. |
| When | Send now, or Schedule. |
The subject is composed for you from the report title and your business name, so a recipient can tell what arrived without opening it.
The platform builds and sends exactly one file per send. If someone needs the same report as both a PDF and a spreadsheet, send it twice.
What the Recipient Gets
| Format | Contents |
|---|---|
| The formatted report for the current period and filters — and, when you were looking at a chart view, the charts on screen rendered on trailing pages. | |
| Excel | An XLSX workbook of the table. Table only. |
| CSV | Comma-separated values of the table. |
Filters are named on the attachment rather than applied invisibly, so a PDF says Center: London rather than leaving the recipient to guess why the figures look small.
When It Does Not Send
| What happened | What you see |
|---|---|
| The address is not a valid email | Invalid email address. Nothing is sent. |
| The mail provider rejected the send | A failure message naming that the provider refused it. The report is not recorded as sent. |
| You cannot open the report | The send is refused. Emailing a report requires the same permission as reading it. |
| WhatsApp did not respond within 30 seconds | The send fails rather than retrying — a retry loop would be worse than an honest failure. |
Choosing WhatsApp builds the same PDF, uploads it, and delivers it as a media message to the number you entered. It is a convenience channel for a quick send to a phone.
WhatsApp delivery uses a fixed message template, so your typed Message is not carried through, and the template is worded for documents rather than reports. Use email when the wording matters, when you need more than one recipient, or when the report is going to someone outside the business.
Every Send Is Recorded
Sending a report is a data export. Each one is written to the security log with the module, the resource and the format, and each is visible in the tenant activity timeline — who sent what, to where, and when.
