Scheduling a Delivery
Have a report email itself — set the rhythm, set the period each send covers, and understand why those are two separate decisions.
A schedule sends a report by email on a rhythm you choose, with the filters that were on screen when you created it and a period that is worked out fresh at every send. It is created from the same Send report dialog used to send once.
Create One
Period, filters, grouping, measure and units are frozen into the schedule. Only the dates roll.
Fill in Send via, To, CC, Message and Attach as exactly as you would for a single send.
Four more fields appear.
Then press Schedule report. A toast confirms Report scheduled — Manage it under Share → Schedules.
Cadence and Coverage Are Two Different Things
This is the idea the dialog is built around, and it is the one thing worth reading twice:
When it sends and what it covers are separate: cadence sets the rhythm, coverage sets the period. Filters stay as on screen.
Cadence is how often the email goes out. Coverage is the range of dates the report inside it is run for. A report can arrive every morning covering yesterday, or every morning covering the month so far — same cadence, different reports.
Repeat — the cadence
| Repeat | Sends |
|---|---|
| Once | A single send on the chosen day. The schedule then goes quiet. |
| Daily | Every day. |
| Weekly | Every week, on the weekday of the start date. |
| Monthly | Every month, on the day of the month of the start date. |
Send on (for Once) or Starting (for the rest) sets that date. It defaults to today and cannot be in the past. Its weekday and day of month are what the weekly and monthly rhythms lock onto — so a schedule starting Tuesday the 12th sends on Tuesdays, or on the 12th.
Each send covers — the coverage
Not offered for Once, which always uses the dates the report was on when you created it.
| Coverage | The period each send reports on |
|---|---|
| Auto | Matches the cadence: Yesterday for Daily, Last 7 days for Weekly, Last month for Monthly. This is the default and reads as the matching option in the list. |
| Yesterday | The single day before the send. |
| Last 7 days | The seven full days ending yesterday. |
| Last month | The previous calendar month, whole. |
| Month to date | The 1st of the current month to yesterday. |
| Exactly the dates on screen now | The stored dates, unchanged, on every send. |
A daily schedule created in March still covers yesterday when it fires in November. Nothing is baked in except the filters — and, for Exactly the dates on screen now, the dates themselves.
Deliver from — the hour
The hour of the day the send goes out, from 12:00 AM to 11:00 PM, defaulting to 7:00 AM. The scheduler checks every hour and sends once the chosen hour has arrived on the due date, so a report is delivered from that hour rather than exactly on it.
The delivery hour is interpreted in UTC+1, not in your own time zone. If your business runs elsewhere, offset the hour when you set it — a 7:00 AM schedule reaches a reader in New York at 2:00 AM local, and one in Singapore at 2:00 PM.
Placeholders in the Subject and Message
A schedule's subject and message can carry placeholders, expanded at each send:
| Placeholder | Expands to |
|---|---|
| {today} or {date} | The date the send goes out |
| {month} | The current month name |
| {year} | The current year |
| {period_from} / {period_to} | The dates the report actually covers on this send — the resolved coverage, not the stored dates |
| {business_name} | Your business name |
| {dashboard_link} | A link back to the dashboard |
What a Schedule Carries With It
| Frozen at creation | Worked out at every send |
|---|---|
| Every entity filter — customer, vendor, item, center, project | The from and to dates, from the coverage rule |
| Grouping, measure and units | The figures themselves, from the live books |
| The attachment format | The subject and message, after placeholders are expanded |
| The recipients and the subject | |
| The report, and the permissions of the person who created it |
Nothing is on screen when a schedule fires, so a delivered PDF cannot carry the chart you were looking at. It carries a chart generated from the report's own rows instead. If a specific chart matters, send it now rather than scheduling it.
The To field holds a single address. Additional recipients go in CC, which splits on commas.
After You Create It
The schedule appears in Scheduled deliveries, reachable from the Schedules button on any report toolbar. There is no edit — to change a recipient, a cadence or the coverage, delete the schedule and create it again. See Managing schedules.
