Activity Logs

The activity log records what every user did in your business — creating, updating, approving, logging in. Use it for audits, investigations, and compliance.

Navigate to: Settings → Security & controls → Logs

Actions performed in Trabalance are recorded in the activity log. The log is append-only — entries cannot be edited or deleted from the app. It is the audit trail for who did what, when, and from where.

Searching and Filtering

ControlWhat It Matches
SearchThe user's name or email, the action, the description, or the resource name (for example an invoice number).
UserOne user. The list contains only users who appear in this business's log.
ActionOne action type. The list contains only the actions present in the log.
ModuleOne module — sales, purchase, finance, people, operation, settings, auth, business… as recorded.
From Date / To DateA date range; the To date is inclusive.

Filters sit behind the Filters button; a counter shows how many are active, and Clear all filters resets them. Refresh re-queries the log.

Action Types

The Action filter offers whatever the log contains. Actions are written from a fixed vocabulary:

CreateA new record was created — an invoice, customer, employee, journal entry, etc.
UpdateAn existing record was modified.
DeleteA record was deleted or archived.
ViewA record was opened.
Approve / RejectA document in an approval workflow was approved or rejected.
Void / RestoreA document was voided, or a deleted record restored.
Export / Print / Share / EmailA document or report left the system.
Login / LogoutA user signed in or explicitly signed out. Sessions that expire without logout do not generate a Logout event.
OtherAdministrative events — finalize, reverse, role assigned, settings change, user activated or deactivated. The specific event is shown in the entry's Additional Details.

What Each Log Entry Contains

The table shows Timestamp, User (name and email), Action, Module, Description with the resource underneath (type and name or ID), and IP Address. Click a row to open Activity Details:

  • Timestamp — the moment the action occurred
  • User — name, email and role
  • Module and resource type, resource ID, resource name
  • Description — a human-readable summary of what changed
  • IP address and user agent — where the request came from
  • Changes — for updates, each changed field with its old and new value
  • Additional Details — any extra metadata recorded with the event

Summary Cards

Above the table: Total Logs (for the current filter), and counts of creates, updates and distinct users on the page you are viewing.

ℹ️Export for compliance

Export CSV downloads the currently filtered log with the columns Timestamp, User, Email, Action, Module, Resource Type, Resource Name, Description and IP Address. Use it for external audit submissions, internal compliance reviews, and insurance or regulatory requests.
