Role Management

System roles, custom roles, and granular permissions.

Navigate to: Settings → Team → Roles

Roles define what actions users can perform — create, read, update, delete, approve — feature by feature. Center and location access is not part of a role: it is assigned to each user when you add or edit them.

The Roles page. System roles are locked; custom roles carry an authority level, a data scope and a details view.

System Roles (Not Editable)

Super AdministratorEverything — unrestrictedThe account that registered the business. Protected: cannot be edited or deactivated from the Team page.
AdministratorFull access to all features and all centersEvery module, permission and center is granted automatically when the role is chosen.
SupervisorConfigurableModules, per-feature permissions, access scope and centers are chosen when the user is created or edited.
StaffSelf-service onlySees only their own records in the People features they are granted. Never sees Reporting.

On the Roles page these appear as cards with a System badge and no actions menu.

Custom Roles

Role NameRequired. e.g. "Branch Manager", "Payroll Officer", "Sales Rep", "Inventory Clerk".
DescriptionPlain text — what this role is for.
Authority LevelAdministrator (Highest), Manager, Supervisor, Team Lead, Staff (Lowest). Higher authority can manage lower levels.
Data ScopeOwn — only their own data · Store/Location — their assigned centers · All — full business data.

Each custom role card shows its authority, scope, and counts of modules, features and users. View Details opens two tabs — Permissions (every granted feature with C R U D A badges) and Users (who holds the role). The ⋯ menu offers Edit Role and Delete.

Permission Configuration

PermissionWhat It Controls
CreateCan create new records — invoices, bills, employees, adjustments, etc.
ReadCan view and list records. Without Read, the feature is hidden.
UpdateCan edit existing records.
DeleteCan delete or void records.
ApproveCan approve documents in approval workflows and finalize payroll.

Deleting a Role

A role that still has users assigned cannot be deleted — the confirmation lists them and asks you to reassign them first.
