Approval Workflow
Require approval before documents are posted to the ledger.
Navigate to: Settings → Documents & workflows → Approval workflows
One workflow per document type: set the amount above which approval is required, add the levels a document must pass through, and assign the team members who can approve at each level.
Supported Document Types
| Category | Document Types |
|---|---|
| Sales | Invoices, Sales Orders, Estimates/Quotes, Delivery Notes, Credit Notes, Receipts |
| Purchases | Bills, Purchase Orders, Goods Received Notes, Debit Notes, Payments |
| Spend | Expenses |
Workflow Configuration
| Field | Details |
|---|---|
| Document Type | Select which document type this workflow applies to. It cannot be changed after creation. |
| Minimum Amount for Approval | Approval only required at or above this amount. Below it, documents post without approval. Set to 0 to require approval for all amounts (the card then reads "Min Amount: All documents"). |
| Workflow Active | Toggle on the form and on the card. Inactive workflows are ignored. |
The list can be filtered to All, Active or Inactive workflows. Deleting a workflow permanently removes its levels and approver assignments.
Approval Levels
Each workflow supports multiple sequential levels. Documents flow through Level 1 → Level 2 → … → Posted. Every level must approve before the document is posted. Expand a workflow card to manage its levels.
| Field | Details |
|---|---|
| Level Number | 1–10. Suggested automatically as the next number; fixed once the level exists. Determines sequence. |
| Level Name | Required label — e.g. "Manager Approval", "Director Approval". Default: "Level N Approval". |
| Manage Approvers | Search and tick team members. Any assigned user can approve at that level. The card shows how many approvers each level has. |
Deleting a level removes all approver assignments for that level.
