Tags
Tags are groups of options you define — Project, Campaign, Region — and apply to documents for flexible grouping and analysis beyond fixed fields.
Navigate to: Operations → Tags
A tag is a group with a set of options. "Project" is a group; "Horizon 2026", "Infrastructure" and "APAC Expansion" are its options. Unlike fixed fields (department, center, category), tags are fully yours — you create exactly the groups and options your business needs for grouping and analysis.
Creating a Tag Group
On the Tags list, click New to open Create Tags.
The dimension you are tagging by. Keep names concise and consistent — "Project", "Campaign", "Region".
Three option rows are shown; fill them in and click Add new option for more. Remove a row with its bin icon (the form always keeps three).
The group and its options are available on documents immediately.
Groups and options can also be imported from a CSV or spreadsheet (one row per option) and the list can be exported as CSV or PDF.
The Tags List
| Column | Details |
|---|---|
| Tag Group | The group name. |
| Options | The first three options as pills, then "+N more". |
| Options Count | How many options the group has. |
| Documents | How many documents carry any of its options. |
| Last Updated | When an option in the group last changed. |
Search filters by group name. Clicking a row opens the group's analysis page; the pencil opens it for editing.
Applying Tags
Tags are applied through the Tags option on document forms — invoices, bills, journal entries, expenses and purchase orders. Open it, pick a group, then the option. Several tags can be applied to a single document. Tags are metadata, not accounting fields, so they do not change the financial record.
Analysing a Tag
Click a group in the list to open its analysis page. Filter the documents that carry it by category — Sales, Purchase, Sales Return, Purchase Return, Sales Order, Purchase Order, Receipt, Payment — pick a date range, and group the totals as Total Only, Daily, Weekly, Monthly, Quarterly, Semi-Annual or Annual, by Amount or Quantity. The source documents are listed underneath.
Centers (branches) and categories (product families, expense types) are structural — they are defined by your business setup and constrained by the chart of accounts or product catalogue. Tags are supplementary and unconstrained. Use centers for location-based reporting, categories for account-based grouping, and tags for any additional dimension that does not fit neatly into existing structure.
Tag Management
Renaming — Edit the group and change the Group Name or any option's text. The new name shows everywhere the tag has been applied; no re-tagging required.
Removing an option — In the edit form, the bin icon removes an option. An option that is already attached to invoices, bills or journals cannot be removed — untag those documents first. A group must keep at least one option.
Deleting groups — Tick one or more rows in the list and click Delete. This deletes every option in the selected groups after a confirmation.
