Team Management

Add, edit, deactivate and reactivate the users who access your Trabalance account.

Navigate to: Settings → Team → Team

The Team page lists every user in this business, split into Active and Inactive tabs, with search by name or email. Adding users, editing their access, and deactivating or reactivating them all happen here.

The user list and the Add New Users form. Administrators receive every module and every center automatically.

Adding a New User

Click Add New User. Several users can be added in one batch — they all receive the same role, permissions and centers.

Full NameRequired.
EmailRequired. Used for login — must be unique.
RoleEither a system role — Administrator, Supervisor, Staff — or one of your custom roles.
Modules & PermissionsFor system roles other than Administrator: tick the modules, then per feature choose Create, Read, Update, Delete, Approve. A custom role brings its own permissions and this tab shows them read-only.
Access Scope per featureOwn Records Only / Department Records / All Records.
Center AccessTick the centers this user may see, or Select All Centers. Administrators get all centers automatically.
✅NOTE

Administrator auto-selects all modules and all centers — no manual configuration required. Supervisor and Staff receive exactly the modules, permissions and centers you tick. A user with no centers ticked cannot see center-specific data; an empty center list never means "everywhere".

The User List

NameWith a lock icon on the Super Administrator — the account that registered the business.
EmailThe login address.
RoleThe system role, or the custom role name with a Custom badge.
CentersAll Centers, a count of centers, or No centers.
Date registeredWhen the user was added.
StatusActive or Inactive.
ActionsView Details, Edit User and Deactivate User on active rows; Activate on inactive rows.

Clicking a row opens the user's details panel with the same Edit / Deactivate / Activate actions.

Deactivating and Reactivating

ActionWhat It Does
DeactivateSets status to Inactive after a confirmation. The user can no longer access this business; their access to any other company they belong to is unaffected. All records and history are preserved.
ActivateRestores an inactive user with the same role, permissions and centers.
ℹ️The Super Administrator is protected

The account that registered the business is marked Protected Account. It cannot be edited or deactivated from the Team page.
