Invite a Teammate

Add someone to your business: name and email, one role, the modules and permissions they need, and the centers they may see.

Navigate to: Settings → Team → Team → Add New User

Adding a user is four decisions: who they are, what role they hold, what they may do inside it, and which locations they may see. Get the fourth one wrong and they either cannot work or can see more than they should — so it is worth reading the center section below even if the rest is obvious.

Only Administrators and the Super Administrator can add users.

Name and email. Both are required and the email must be unique — it is what they sign in with.

Who They Are

You can add several people in one go with + Add another user. Everyone in the batch receives the same role, the same permissions and the same centers — so batch people who genuinely do the same job, and add anyone different separately.

What Role They Hold

Choose a system role, or switch to Custom role and pick one you have built.

Every user holds exactly one role. Switch between System role and Custom role and pick from the list.

SupervisorYou tick the modules, per-feature permissions, access scopes and centers yourself.
StaffSelf-service only. They see their own records in the People features you grant, and never Reporting.
A custom roleBrings its own permissions, which the panel shows read-only. You still choose the centers.

If none of the system roles fits, build a custom role first, then come back here.

What They May Do

Per feature: Create, Read, Update, Delete, Approve — plus an Access Scope.

For Supervisor and Staff, tick the modules this person needs, then set each feature's permissions: Create, Read, Update, Delete, Approve. Each feature also carries an Access Scope — Own Records Only, Department Records, or All Records.

Grant the narrowest set that lets them do their job. Read-only is a legitimate and common answer.

⚠️Approve is the powerful one

Approve authorises financial transactions. Granting it widely inside a module effectively removes that module's approval workflow, because anyone can then approve their own work.

Which Locations They May See

Center Access. Tick each center this person may see, or Select All Centers.

Tick each center this person may work in, or use Select All Centers. Administrators receive every center automatically.

⚠️No centers ticked means no centers

An empty center list is never read as "everywhere". A user with nothing ticked cannot see center-specific data at all — documents, stock, journals and reporting for those locations are simply absent. This is deliberate: it is safer for a new user to see too little and ask than to see a location they should not.

Only active locations appear in this list. A center that has been closed, or promoted into its own company, is not offered.

The button counts what you are about to do — "Add 1 User", "Add 3 Users".

Check the Active list

They appear immediately with the role, permissions and centers you chose, and a Date registered of today.

Tell them their sign-in address

They sign in with the email you entered.

If You Got Something Wrong

Nothing here is permanent. Edit User reopens the same panel; see Change someone's role. If the person should not have been added at all, deactivate them — their records and history are preserved either way.
