Review and Apply
The last step of Workflow: a line-by-line diff of every setting the profile would change, an apply that only the Super Administrator can press, and a numbered version history.
Navigate to: Settings → Company → Workflow → Review & Apply
Everything you answered in Workflow has been saved as a profile. Nothing about your business has changed yet. This step shows you exactly what would change, in full, before you commit to any of it.
Reading the Diff
Four columns, one row per setting:
| Column | What It Shows |
|---|---|
| Setting | The plain-language name of the setting. A blue dot in front of it means this row would change. |
| Today | The value your business holds right now — read from your live settings, not from your answers. |
| Proposed | What it would become. Changed rows are set in a heavier weight; unchanged rows stay quiet. |
| Area | Sales, Purchases, Operations, People or Finance — which part of the business the setting belongs to. |
Beneath the table a single line counts the work: "4 of 6 settings would change." Everything in this table is computed on the server from your saved answers — the page displays the verdict, it never works one out of its own.
What Workflow Can Provision
Workflow provisions a deliberately small, named set of settings. It does not reach into your chart of accounts, your documents, your team or your data.
| Setting | Area | What it controls |
|---|---|---|
| Deferred revenue schedules on invoices | Sales | Whether an invoice can carry a schedule that recognises revenue over time instead of all at once. |
| Recurring documents (subscriptions, rent, term billing) | Sales | Whether documents can be set to repeat on a schedule. |
| Automatic receipt-to-invoice matching | Sales | How an incoming payment meets your open invoices — manual, suggested, or one of the automatic modes. |
| What your customers are called across the app | Sales | The word used in place of "Customer" on labels, forms and lists. |
| Bill matching (purchase order / goods received) | Purchases | How strictly a bill must agree with its purchase order and goods-received note before it can be paid. |
| Barcode-first item identity | Operations | Whether items are identified primarily by barcode at the counter and in stock work. |
Applying
Apply profile is Super Administrator only. An Administrator sees the whole diff and the history but no button — the review is transparency, the commitment is the owner's.
When a value comes from your business type rather than from an answer you gave, it is allowed to enable a setting and never to disable one. A setting is only turned off when you explicitly answered in a way that turns it off. This protects work already in flight — a live deferred-revenue schedule cannot be switched off by a default you never looked at.
If someone else saved a section while you had the review open, applying is refused and the page tells you so rather than committing a stale picture. Reload the review and apply again.
Versions and History
Every save and every apply is a numbered version. After applying, the status chip beside the page title reads Applied v3 and the History list below the diff shows what each version did — "v3 — profile applied", "v2 — revenue, procurement updated". Each entry carries its date. Every change is written to the audit trail, so it is also visible in Activity logs.
You can come back, change answers, and apply again. The next apply becomes the next version; the previous ones stay in the list.
